Loan of projectors and laptops

Loan policy (version 1)

Table of content

Loan

Portable projectors and laptop computers can be borrowed for short-term loans (such as presentations, meetings, conferences, fresher's weekend (rusture) etc.) and this service is only available for users at the department. Laptops and projectors loans are handled through the following units:

 • IT-Office (room 25.0.4)
 • Department of Economics Information desk (room 26.0.20) – few items available

Reservations

Reservations for items must be placed well in advance. This is necessary in order to adequately schedule the distribution of items. If an item has not been reserved in advance, we cannot guarantee that a specific item will be available, since all items are available on a first-come, first-served basis.

You must include the following information in your reservation:
  • Name and Contact information
  • Timeframe for use
  • Anticipated pick-up date/time (only during opening hours)
  • Anticipated return date/time (only during opening hours – within one hour prior to closing)
Upon request, please be ready to show your University of Copenhagen I.D. card during the pick-up. The working condition of the item and all included accessories is inspected prior to delivery and upon their return. Upon request, first time borrowers can receive a short basic orientation and instruction of loaned items by the IT-Office prior to picking up the items. Be aware that it may take up to 5-10 minutes to complete the loan or return of an item; always allow 5-10 minutes before your time due.

Laptops must be returned to the same Office where they were originally loaned.

Terms and conditions

The timeframe for the use must be accepted by the IT-Office/Information desk prior to delivery. If any terms of the loan agreement need to be changed during the loan (for example: if you need to use an item longer than the agreed upon timeframe, or if the item has been handed over to another user), please inform the IT-Office immediately. Items are loaned out individually and the borrower is therefore responsible for the safe return of items. Never leave a laptop or projector unattended - you are solely responsible for the laptop, projectors and the peripherals while in your possession, until they are returned.  If an item is not returned on the due date, the borrower will be contacted.

Borrowers are required to report any problems experienced with the items during their loan period. You are required to treat the items with care and not attempt to repair the items yourself as this may invalidate the manufacturer’s warranty.

The IT-Office is not responsible for any files left on laptops or for loss of or damage to a user’s files during the loan period. Users are responsible for performing their own data backups. You may save your work by e-mailing it as an attachment or saving to a memory stick. Any personal data or files should not be stored on the laptop as they will be deleted when the laptop is returned.

Laptops should not be operated on battery power, as we cannot guarantee that the battery is fully charged at the start of the loan. Always plug the laptop's AC Adapter into a wall power outlet. The Internet can be accessed from most locations at CSS (either using an Internet cable or by connecting to the wireless Eduroam).

The software installed on the laptops is licensed to the University of Copenhagen and should not be copied or transferred to other computer systems. Borrowers are prohibited from installing any additional software, without explicit permission from the IT-Office. If any additional software needs arise, please contact the IT-Office and request it in advance prior to the actual pick-up.

All laptops are pre-configured with a limited guest user account, which is used for basic access to the laptop. Users can also choose to login with their own department user-id instead, while connected to the Department of Economics network (Please note that logging in using your own user-id might not work outside of the Department of Economics network)

When using the projectors and laptops, you must power down the equipment prior to placing them inside their respective cases.
